Onboarding Flows and Requirements
Create onboarding steps, assign them to your team, and review completion.

Use onboarding flows to give people a repeatable checklist for joining your organization. Enable Compliance Onboarding in Organization settings → Features. People with onboarding management access can open Onboarding setup under Organization settings; members complete their assigned work in My Onboarding.
Use specific instructions, such as “Upload your current certification” or “Read the handbook, then acknowledge it.” A training link opens your training resource; Teamcrest does not deliver a course or run a background check itself.
Under Who gets this flow?, select onboarding categories, job positions, or locations. A person must match every group picker you use. People selected under Always include people are included regardless of those group filters. Assignment rules save automatically.
For an individual assignment, use Assign this flow to someone on a published flow, choose the member, and select Assign.
Onboarding categories help organize people and suggest appropriate flows. They do not change account roles or permissions. Review a person's assigned flows after changing their category, position, or location.
Open My Onboarding and follow each step's instructions. Use Update profile or Add availability for those tasks. Open supporting links before choosing Acknowledge or Mark complete. Upload the requested document for document and certification tasks; provide certification details where requested.
A submitted item that needs review is not complete until approved. Manual-review steps show Waiting for owner/admin. If a submission is rejected, read the review note and follow up with your manager before submitting again.
Progress is visible beside people on Members and on the onboarding progress page. Review submitted work in Onboarding setup → Reviews, or the onboarding category of Manage team → Approvals when your role permits it.
Open uploaded evidence, check any certification details, and enter a Review note before choosing Approve or Reject. Approval completes the reviewed item; rejection tells the member what needs attention.
In Onboarding setup → Scheduling policy, choose whether incomplete onboarding allows scheduling with a warning or prevents assignments until requirements are complete. This setting saves automatically; members can still join and use the app.
Mandatory volunteer prerequisites have their own eligibility checks. A general scheduling warning does not bypass them. See Volunteer prerequisites for verification and expiry guidance.
Turn off Compliance Onboarding in Organization settings → Features to pause requirements, including volunteer prerequisites on existing shifts. Existing assignments and completion history remain. Eligible volunteer requests can resume, but coordinator approval and available places still apply.
Delete a flow from Onboarding setup when it should no longer be used. Its existing assignments and completion history are preserved.
