AI Scheduling
Generate draft schedules automatically from availability, positions, and coverage needs.
The AI Schedule Generator drafts a schedule for you based on staff availability, positions, and the constraints you set.
The AI Schedule button appears only when the AI Scheduling feature is enabled for your organization. If you don't see it, an admin can enable it under Settings → Feature Flags.
Generating a schedule
- On the Schedule page, open the AI Schedule Generator.
- Set your constraints:
- Start Date and End Date — the range to schedule.
- Operating Days and Operating Start/End Time — when your business needs coverage.
- Positions — which roles to schedule.
- Min Staff Per Shift — coverage target.
- Max Hours Per Employee — cap per person for the period.
- Generate and review the proposal. The AI Reasoning panel explains the choices it made.
What the AI considers
- Each employee's availability (Unavailable time is treated as a hard constraint).
- Positions assigned to each employee — people are only placed into roles they hold.
- Your coverage targets and hour caps.
What it won't do
- Override time-off or availability unless you change the underlying data.
- Guarantee a perfect result — always review the draft. Shifts it couldn't confidently assign appear as Unassigned.
Reviewing and fixing results
Generated shifts arrive as Unpublished Shifts (drafts):
- Fill unassigned shifts manually, or relax constraints (more positions, wider hours, updated availability) and re-run.
- Drag and drop to fine-tune, then publish.
If results look wrong, the usual causes are stale availability data or employees missing position assignments — fix those first, then regenerate.
