The AI Knowledge Base (Organization section) powers a chatbot that answers your team's questions from your documents — policies, procedures, training materials — like a virtual manager available 24/7.

Adding documents

  1. Go to AI Knowledge Base.
  2. Click Upload Document (supported formats: PDF, DOCX, DOC, TXT, MD, JSON), or Add from Storage to reuse a file already in your File Storage.

Documents are processed automatically so the chatbot can reference them.

Using the chatbot

Staff open the chat assistant from the team workspace and ask questions in plain language — "What's the procedure for a chemical spill?", "How do I request time off?" The bot answers from your uploaded documents.

Getting good answers

  • Upload the real sources — handbooks, SOPs, policy docs. The bot only knows what you give it.
  • Keep documents current — replace outdated files; the bot can't tell that a policy changed unless the document did.
  • Prefer text-based files — clean text beats scanned images for accuracy.

What it won't do

The chatbot answers from your knowledge base; it doesn't take actions (it won't edit schedules or approve requests), and it may decline questions your documents don't cover. For anything ambiguous or safety-critical, staff should confirm with a manager.
