Time Tracking Configuration
Configure advanced time tracking rules including Double Time, Geofencing, and Overtime limits.
Overview
TeamCrest offers robust time tracking configurations to help you comply with labor laws and manage your workforce effectively. You can customize Overtime, Double Time, and Geofencing rules directly from your workspace settings.
Navigate to Settings > Time Tracking to access these configurations.
Double Time & Overtime
Advanced overtime calculations are essential for compliance with local regulations (e.g., California labor laws) or union contracts.
1. Enable Double Time
Toggle the Enable Double Time Calculation switch to reveal detailed configuration options.
2. Daily Limits
- Daily Overtime Limit: The number of hours a user works before Overtime (1.5x) kicks in. Default: 8 hours.
- Daily Double Time Limit: The number of hours a user works before Double Time (2x) kicks in. Default: 12 hours.
- Example: If an employee works 14 hours:
- First 8h: Regular
- Next 4h: Overtime (8-12h)
- Last 2h: Double Time (12h+)
- Example: If an employee works 14 hours:
3. Weekly Limits
- Weekly Overtime Limit: Threshold for total weekly hours. Default: 40 hours.
- Weekly Double Time Limit: Threshold for total weekly hours for Double Time. Default: 60 hours.
- Priority: Daily limits are calculated first. Weekly limits apply to the remaining "Regular" hours.
4. 7th Consecutive Day Rule
Enable this to apply special rules for work performed on the 7th consecutive day of a work week.
- Rule:
- First 8 hours on the 7th day: Overtime
- Any hours beyond 8 hours: Double Time
- Requirement: The employee must have clocked hours for every single day in the preceding 6 days of the work week.
Geofencing
Geofencing ensures that employees can only clock in or out when they are physically present at a designated work site.
1. Enable Geofencing
Toggle Enable Geofencing (GPS Check) to activate this feature.
- Requirement: Employees must grant location access to the application on their device.
2. Configuring Zones
You can define multiple allowed zones. An employee must be within the radius of at least one active zone to clock in.
- Latitude & Longitude: The center point of the work zone.
- Radius: The allowed distance (in meters) from the center point.
- Name: A helpful label for the zone (e.g., "Main Office", "Construction Site B").
3. Employee Experience
- When an employee attempts to clock in, the system checks their device's GPS coordinates.
- If they are outside all configured zones, the clock-in attempt is blocked with an error message.
- Location data is recorded with each time entry for audit purposes.
Best Practices
- Consult Labor Laws: Ensure your Overtime and Double Time settings comply with your local jurisdiction.
- Buffer Radius: When setting Geofence radius, account for GPS drift. A radius of at least 100-150 meters is recommended to prevent frustration due to poor signal.
- Review Timesheets: Always review generated timesheets for accuracy before approving them for payroll.
